Scan to Email Services – Explained

For years, scan to email services have worked… and then not worked. Typically for only 1 reason. Email services change their settings and defaults and usually to increase security or plug gaps available to viruses, malware and ransomware.

In plugging these holes, an email service that previously could be used to send scans from your office printer, would suddenly stop working. Usually because a new or additional level of authentication was required in order to use the email account.

Every time the major email services would change their policies, printer technicians would be called to reconfigure your printer settings in order to get scan to email services working again. For Zone 3 customers, the technicians actually solved the problem by setting up their own, secured email service.

This Zone 3 email service was, however, always meant to be a temporary solution until a more permanent and secure solution could be found. Z3 Network Solutions, Zone 3’s IT partner and sister company, developed and is now managing S2e, a permanent and secure, dedicate email service that is purpose built for scan to email services on your office multi-function printers.

What is the Scan to Email issue?

You may have experienced a problem with your printer’s scan to email feature earlier this summer. Shaw, Telus, Microsoft and Gmail all changed their security process to make it impossible for your printer to send scans via email. This caused ALL printers using email forwarding from the printer to send scans to email to fail. 

Thankfully, Zone 3 Business Solutions (Zone 3) immediately stepped in and set up a temporary scan to email solution for those companies that required an immediate fix!

What is the Solution?

Z3 Network Solutions, a Zone 3 sister company, has developed a dedicated, permanent and secure platform for those companies that require scan to email services.

This S2e (Scan to Email) system will enable any printer with scan to email capabilities to send scans by email. Currently, older printers and some newer printers – regardless of brand – are having issues sending email because of new security and encryption settings adopted by companies such as Shaw, Telus, Google and Microsoft.
